Dovile is a luxury wedding planner based in Italy, renowned for crafting intimate, high-end celebrations with effortless elegance.

But as her client base grew, so did the demands on her time, requiring more manual work and effort to maintain the seamless, high-touch experience she was known for.

The Challenge

Dovile’s business was thriving but behind the scenes, the entire planning journey felt heavier than it needed to. Onboarding new clients, sending proposals, and managing schedules had turned into a time-consuming juggling act.

She was handling admin manually, relying on Google Docs for proposals, and getting stuck in back-and-forths around contracts and payments. It didn’t reflect the seamless, high-touch experience she wanted to deliver and it was pulling her away from what she loved most: designing unforgettable weddings.


Our Approach

We built Dovile’s Dubsado from scratch, creating a seamless, high-end client experience that matched the luxury nature of her business. As part of the build, we:

  • Audited her current processes and mapped out her optimised client journey to optimise efficiency and reduce manual work

  • Created beautiful custom-coded proposals and forms that brought her brand to life and made every client touchpoint feel polished and effortless

  • Wrote canned emails in Wed by Dovile’s brand voice to save her time on repetitive communication whilst keeping every client interaction consistent and on-brand.

  • Designed custom Dubsado workflows - automating client onboarding, delivery phase, and offboarding so she no longer has to do everything manually

  • Streamlined appointment scheduling and invoicing (including payments plans), creating a hands-off booking process with everything automated

  • Provided live training and created custom tutorial videos, so she could confidently use the system


The Transformation

Since working together, Dovile’s client experience feels as elevated behind the scenes as it does front-facing. With a fully automated system handling the details, she now spends less time in the backend and more time focused on designing the unforgettable weddings her clients come to her for.
